Youth Development Administrator 

The Whitecaps have a goal – to be one of the best small sports franchises in the world.  Established in 1974, the organization has grown to include Men’s and Women’s professional teams, reserve teams and a strong youth development system. 
 
Position Description:

The Whitecaps are looking for a qualified and passionate individual to fill the role of Youth Development Administrator.

Reporting to the Director of Youth Development, the Administrator will work with a team of managers and head coaches to oversee all logistical operations of the Youth Development Department.

You will be responsible for providing customer service to program registrants and supporting all areas related to youth by managing and maintaining travel projects, budgets, up to date databases, website updates and program reports. The Administrator will also play an integral role in developing and maintaining current and future club contact relations as they pertain to programming initiatives.

As the ideal candidate, you are a highly motivated individual, ready and willing to deliver excellent customer service. You are a detail oriented individual ready to take initiative in managing various youth projects.

Specific Responsibilities:

Communication and Customer Service

  • Manage communication with program registrants and the general public. 
  • Handle incoming and outgoing communication with community and club partners.

Program & Event Management

  • Manage all youth programs and team logistics; including insurance, travel, sports science services.
  • Manage the field bookings and scheduling for youth programs.
  • Manage and co-ordinate selected youth development projects.
  • Provide administrative support to the youth development department.
  • Provide support through attendance at selected youth events.

Technology

  • Regularly build, update and manage registration database and produce reports.
  • Manage on-line and mail-in registration payments and collection, for reconciliation to accountant.
  • Website updates (player bios and program updates etc.).

Financial

  • Liaison with accountant to maintain file of incoming expenses as they relate to youth.
  • Track incoming expenses (i.e. general and as per youth travel budgets).
  • Track log of coaching hours of youth programs for monthly calculation. 
  • Create and track records of deposits of incoming youth payments.
  • Help create and manage Program budgets.

Department co-ordination

  • Work with all other Whitecaps departments including marketing, community relations, ticketing and accounting to ensure alignment, support and delivery on development initiatives.

Equipment

  • Oversee facilitation of equipment needs for all youth programs.
  • Liaison with Equipment and Facility Manager on execution.
  • Oversee and support tracking of inventory of all equipment.

Required Skills & Abilities:

  • Demonstrates a high degree of adaptability, excellent organizational skills and the ability to manage priorities

  • Attention to detail
  • Experience in implementing new procedures and improving existing protocols
  • Self-starter with excellent time management
  • Exceptional oral and written communication skills
  • Advanced word processing and spreadsheet capabilities (i.e. Excel and Microsoft Word)
  • Ability to work in a fast-paced team environment
  • Strong problem solving skills
  • Willingness to work game nights / events
  • Experience managing people is preferred but not required
  • Demonstrated experience in an administration or operations role
  • Experience in the sports or entertainment industry is preferred but not required

Director, Sponsorship Sales


Reporting to the President and the Chief Operating Officer, the Director, Sponsorship Sales is
responsible for developing and implementing a strategy with a goal to build sponsorship into one of the
major revenue streams for the organization. He or she will look at opportunities for packaging the
Whitecaps entity in a meaningful way and will use his or her extensive network to build long-term
partnerships. The Director is accountable for the development and implementation of the annual
sponsorship sales budget, including but not limited to revenues, margins, and departmental expenses.
In addition, he or she is responsible for developing and implementing business strategies and tactics to
achieve profitability requirements. The Director provides leadership in the form of coaching,
mentoring and inspiring the sales team to meet or exceed objectives.

As the ideal candidate, you would be a seasoned sponsorship development professional with a broad
network in the business community, as well have had a solid track record of developing and executing multilayered,
highly successful sponsorship strategies. You have demonstrated success in packaging
sponsorship opportunities that provide return on investment for all parties and furthered the goals and
values of your organization. Your 3 – 5 years experience in an executive level position focusing on a
combination of sponsorship sales and customer service is ideally augmented by a university degree in a
related discipline. Experience working in or with the sports or entertainment industry will be an asset.

Web & Multimedia Intern


This is an unpaid internship position.

Vancouver Whitecaps FC is western Canada’s only professional soccer franchise, with both a men’s and women’s team that plays in the United Soccer League’s top divisions.  The Whitecaps club model also incorporates a full youth development structure, including an elite Whitecaps Residency program; youth scouting camps; summer camps; free youth community clinics; and other youth programs that support participation and the development of elite players.

As our franchise continues to gain momentum, we are striving to provide a continually improving experience for our ticket holders, fans, and prospective followers.  A critical piece in our growth is the on-going development and updating of our website (www.whitecapsfc.com) and various marketing materials.  We need your skills to help bring our site to life, keep it alive & kicking, and realize its full potential as our most valuable asset in connecting to soccer fans in Vancouver, BC, and around the world.

Reporting to the Manager, Marketing & New Media, you are ready to assume an internship for the remainder of the 2008 season (June - September).

In this role, you will be responsible for:

  • Learning our content management tool inside-out
  • Editing photos and video for website
  • Basic graphic design work
  • Assisting with our data management, including list management; email set-up, testing, deployment, and tracking
  • Updating all areas of the site with content developed by your teammates
  • Potentially learning and participating in the technical aspects of live online streaming of our games (see www.usllive.com).

Requirements:

  • Understanding of web-based content management tools
  • Intermediate HTML and Flash programming capabilities, and some creative design capabilities
  • Ability to manage multiple tasks in a news-based (7/365) environment, while maintaining attention to detail to produce an excellent final product
  • Enthusiasm for the sport of soccer and willingness to immerse yourself in a seasonal, vital sports franchise.

This position is available to start as soon as possible and will run for a minimum of 10 weeks and a maximum of 18 weeks.  We will try to be flexible with the applicant’s schedule and other commitments, as this position is not likely to require a full 40-hour per week commitment.  Please outline your particular scheduling commitments when applying for this position.

Account Manager


The Vancouver Whitecaps FC is seeking a self-motivated, highly professional Account Manager. This position is responsible for selling season and group tickets via phone, e-mail, and face-to-face presentations. The qualified individual will service their accounts, work all regular season home games performing duties as assigned by management, create new ideas to increase ticket sales, and be expected to attain weekly and monthly ticketing goals.

Primary Duties & Responsibilities:

  • Make cold-calls to businesses and individuals to sell season tickets, mini-packs, and groups
  • Generate sales leads by prospecting assigned sales areas both over the phone and in person, and attending community events
  • Service existing clients by providing  superior customer service
  • Achieve sales goals as set by supervisor
  • Other duties as assigned by management

Skills Required:

  • Sales experience necessary
  • Strong teamwork mentality
  • Excellent communication skills, both written and verbal
  • Superior time management skills
  • Ability and willingness to work games and community events as required
