Manager, Partnership Sales

The Partnership Sales department of Vancouver Whitecaps FC is a fast-paced and results oriented environment. The Manager, Partnership Sales is a sales focused role in which the successful candidate needs to be comfortable with cold calls, generating new leads and managing the sales pipeline for sponsorship as well as corporate suites. S/he will be expected to deliver on aggressive sales targets and to continuously generate leads to grow sponsorship, advertising and suites revenue.

Reporting structure: Based in Vancouver at the club’s head office, the Manager, Partnership Sales reports directly to the Director, Corporate Partnerships.

Responsibilities:

  • Generate sponsorship revenue through partnership and advertising sales for both Whitecaps FC (MLS) and WFC2 (USL), including the club’s growing soccer development programs.
  • Play a key role in filling the sponsorship pipeline year-round by researching identified prospects and creating a detailed sales strategy for each.
  • Prospect, negotiate and close deals that focus specifically on sponsorship, advertising and corporate suites revenues for the organization.
  • Work with the Partnerships team to initiate and grow sustainable client relationships.
  • Maintain an indirect relationship with the Ticket Sales team to ensure continuity of messaging and leads tracking between departments.
  • Generate new corporate revenue by identifying prospective clients and strategic partners through various channels.
  • Create, organize and maintain sponsor and advertiser contracts as well as other legal documents.
  • Assist in the creation and management of the organization’s sales process and strategies for sponsorship.
  • Help define and establish new sponsorship properties within the organization, in partnership with other internal departments.
  • Prepare proposals, presentations and reports for the Director, Corporate Partnerships and other club executives.
  • Keep up to date with current developments in the sports marketing industry (specifically sponsorship and corporate hospitality) and utilize this information to guide strategy for potential new proposals and properties.
  • Maintain an up-to-date and working knowledge of soccer, the MLS and Whitecaps FC as well as the competitive landscape in Canada, North America and around the globe.
  • Collaborate and work closely with Partnership Marketing to assist in delivery of contractual partnership elements, events and match day hosting opportunities including coordination of corporate suites each match.
  • Other duties, as required and assigned.

Essential Requirements:

  • Must be legally entitled to work in Canada and in possession of a BC Driver’s licence
  • Must have 2 to 3 years of experience in a similar position
  • Must have excellent writing and presentation skills
  • Must be computer literate and have strong Microsoft Office and social media expertise

  • Attention to detail and a strong sales focus are essential.
  • Previous experience selling digital/online advertising an asset.
  • Previous experience working with Salesforce an asset but not required.
  • An advantage if you have a passion for, and understanding of the culture of, sports and/or soccer as well as knowledge of Vancouver Whitecaps FC structure .

This role will require the ability and willingness to work non-standard hours including evenings and weekends for games, special events and other club initiatives. This is an evolving position and responsibilities may shift over time.

Administrative Assistant

Vancouver Whitecaps FC’s mission is to be a champion club on and off the soccer pitch. To help reach this objective, the club is looking for an individual to fill the role of Administrative Assistant to provide general reception and office duties at the front office located in Gastown.

POSITION DESCRIPTION:

The Administrative Assistant will report directly to the Executive Assistant/ Office Manager. The overall aim of the position is to ensure the highest standards of organization, administration and support are delivered to Vancouver Whitecaps FC front office.

Hours are varied but will normally be Monday to Friday, approximately 32.5 hours per week. This is an hourly paid position and wages will be dependent upon experience.

RESPONSIBILITIES

Office Administration

  • Provide professional and friendly reception service
  • Provide general administrative support for the front office (i.e. report writing and filing; courier and mail; tracking, maintaining and ordering office supplies; printer/copier upkeep and maintenance; postage meter upkeep; general kitchen and coffee machine upkeep, etc.)
  • Maintain security key card list and ensures the list is up-to-date with building management
  • Assist the Senior Manager, Human Resources, with on-going tasks to ensure efficient record keeping, and assist the Finance department with the maintenance of payable files.
  • Ensure club procedures as they relate to vehicle use, assist with the KIA pooled fleet vehicles (booking, keeping keys and log books organized, arranging for maintenance, liaison with repairs/insurance, etc.)
  • Maintain meeting room calendars, book meetings, arrange for catering when necessary, ensure front office reception area, storage / archive areas, common areas including kitchen, and meeting rooms are kept in a clean and professional manner
  • Assist the Executive Assistant/Office Manager with high level preparation for games and special events
  • Occasionally travel within Vancouver to run errands, deliver/pick up catering and/or vehicles, deliver special ticket package requests
  • Under direction of the Executive Assistant/Office Manager, and where time permits, assist other departments in the club (Marketing, Sales, Partnership, Soccer Development, Communications) with administrative needs such as mail outs, courier services, envelope and gift bag preparations, etc.
  • May be assigned special projects and duties as required (updating confidential databases, spreadsheets and other documents).

REQUIREMENTS AND QUALIFICATIONS

  • Must be legally entitled to work in Canada
  • 1 - 2 years in an administrative role preferred
  • A post-secondary degree or diploma in a business administration field, or an equivalent combination of education and experience
  • Exceptional written and verbal communication skills
  • Proficient in the Microsoft Office suite of products and above average knowledge of computer technology (i.e. adaptable to learning new software systems and can competently troubleshoot minor issues)
  • Must have a valid BC driver’s license

Soccer Development Administrator

Vancouver Whitecaps FC mission is to be a champion club on and off the soccer pitch. To help reach this objective, the club is looking for a qualified and passionate individual to fill the role of Soccer Development Administrator.

Overall Description:

The role will oversee the administration of all user-pay programs for the department. This position will report to the Operations Manager, Soccer Development.

Specific responsibilities include:

Program Administration

  • Maintain customer service level with registered program participants
  • Create, Manage, and oversee program registration forms
  • Compile detailed and accurate reports on programs; create graphs; prepare reports to reflect historical data
  • Update and oversee website
  • Liaise with other departments to support general program delivery.
    • Academy
    • Liaise and provide support to the Academy centre head coaches
    • Create and maintain registration reports and analyze data phase over phase , year over year
    • Be the lead on Vancouver Academy communications, reminders, etc.
    • Take lead on registering Prospects Academy groups for tournaments
    • Support establishing and determining information and protocols for program registration (including incentives, discounts, promotions)
    • Support the Soccer Development Project Coordinator from an administrative perspective on various projects
    • Camps
    • Connect with Head Coaches in each region to ensure all camp needs are met and registration reports are provided on a regular bases
    • Provide on-site support to technical staff as needed
    • Support establishing and determining information and protocols for program registration (including incentives, discounts, and promotions)
    • Ensure risk management and liability precautions are in place
    • Manage and track camps scholarships.

Department Co-ordination

  • Serve as the point person in the office to manage any inquiries regarding department programs
  • Manage and track department staff details
  • Manage and track the requests for comp tickets

Financial Co-ordination

  • Assist with travelling staff expense reports and credit card reconciliation
  • Prepare participation statistics reports, revenue and expenditure summary reports
  • Establishing and enforcing refund policy and exceptions
  • Generating receipts, invoices, and cheque requisitions

Requirements and Qualifications

  • Must be legally entitled to work in Canada
  • 1-3 years of experience working in a fast-paced, multi-level, project based environment with emphasis on customer service, timelines and delivery
  • Detail-oriented; focused; ability to multi-task
  • Excellent understanding of, and the ability to work with, financial systems and spreadsheets, specifically Microsoft applications
  • Technologically savvy in particular with web based registration systems, database and reporting
  • Knowledge and experience in financial field an asset, with an understanding of the relationships of estimates, budgets, forecasts and actuals
  • Works as part of the Soccer Development team towards a common goal

Soccer Operations Office Administrator

The Whitecaps FC mission is to be a champion club on and off the soccer pitch. To help reach this objective, the club is looking for a qualified and passionate individual to fill the role of Soccer Operations Office Administrator.

POSITION DESCRIPTION

The Soccer Operations Office Administrator will report directly to the Head of First Team Player Relations and Administration. The overall aim of the position is to ensure the highest standards of organization, administration and support are delivered to the soccer operations department.

The role will be based (initially) out of the club’s front office in Gastown and will be responsible to strengthen the connection between the business units in the front office (i.e. Human Resources, IT, Finance and Administration) with the soccer operations staff at the National Soccer Development Centre located on the UBC campus.

RESPONSIBILITIES

Office Administration:

  • General administrative support for the Soccer Operations department (i.e. letter writing, report filing, couriering, ordering office supplies, IT requests, etc.)
  • Ensure club procedures as they relate to vehicle use, expense forms, credit card reconciliation and benefits are upheld by all department staff
  • Maintain detailed and up-to-date player records including contracts, player profiles, reports and immigration documents
  • Maintain and keep up-to-date the club’s central player database as it relates to biographical and contact information
  • Ensure inter-office (Front Office and Training Centre) mail and communications are delivered in an efficient and timely manner
  • Collect all department accounts payable invoices and code prior to approval
  • Maintain good vendor and client relationships and work with finance department to ensure payment terms are maintained
  • Submit medical insurance claims on behalf of players and seek reimbursements from insurance providers when appropriate
  • Collect and track relocation receipts and reimbursements, updating the master tracker and ensuring compliance to the CBA
  • Assist the Specialist, First Team Operations with per diem requests and tracking
  • Assist with expedient processing of expense reimbursement, cheque requests and invoice requests as needed

Player Relocation and Onboarding:

  • In consultation with the Specialist, First Team Operations, ensure welcome packages are prepared and delivered to all incoming players and trialists
  • Work with the league office to coordinate all player HR paperwork including payroll, benefits, insurance and pension plans
  • Organize new player orientation trips to familiarize incoming players and their families with the city
  • Work with the Specialist, First Team Operations to execute all player relocation services including housing, banking, vehicle, education and phone needs
  • Help coordinate and compile player immigration applications ensuring all players obtain the necessary work permits and visas
  • Provide player transportation when appropriate
  • Use the club’s official partners to proactively scout and build a network of contacts that can dependably deliver quality services to players while living in Vancouver

Requirements and Qualifications:

  • Must be legally entitled to work in Canada
  • 3 - 5 years in an administrative role
  • A post-secondary degree or diploma in a business administration field, or an equivalent combination of education and experience
  • Exceptional written communication skills
  • Proficient in the Microsoft Office suite of products and above average knowledge of computer technology (i.e. adaptable to learning new software systems and can competently troubleshoot minor issues)
  • Willing to work flexible and non-traditional hours
  • Ability to speak in multiple languages an asset
  • Unrestricted BC Driver’s License with clear abstract required
