Payroll Administrator

If you are looking to join a fast-paced and exciting professional sports work environment in a financial capacity, the Vancouver Whitecaps FC are looking for a Payroll Administrator to handle all payments made to employees.  The club is built on a model similar to that of most European football clubs.  As such, it has multiple lines of business starting from grassroots soccer camps and academies operating across Canada all the way up to the club’s flagship franchise in Major League Soccer.

Overall Responsibilities

Reporting to the Vice-President, Finance & Administration the Payroll Administrator will:

  • Meticulously compile and process the twice-monthly payroll for salaried and hourly club staff.  This includes the calculation and tracking of all taxable benefits, calculation of required statutory deductions, and year-end tax form compliance.
  • Work closely with sales and ticketing operations departments to calculate, review and process monthly ticket sales commission reporting.
  • Work with Human Resources regarding employee changes such as new hires, terminations and other adjustments.
  • Manage the Club’s expense reimbursement process, including the centralized corporate credit card program, all in accordance with company policies and procedures.
  • Manage and/or co-ordinate any employee and player entitlements such as relocation amounts and travel advances.
  • Complete the Club’s regulatory compliance requirements including payroll and withholding tax reporting and WorkSafeBC reporting.
  • Manage the front office petty cash system, including responsibility for coordinating team per diems for away travel with the Soccer Operations department.
  • Consistently evaluate company processes and pro-actively encourage adoption of best practices in this area.
  • Complete other duties that may evolve based on the aptitudes and interests of the successful candidate and the needs of the club.

Requirements & Attributes

  • A combination of experience and education will be considered, but those with a diploma or degree from a recognized post-secondary institution, or experience processing Canadian payroll in a corporate setting will be prioritized.
  • Enrolled or studying towards a recognized Canadian accounting designation or membership in the Canadian Payroll Association also an asset
  • Experience with Sage 50 accounting software or Payworks payroll processing software should be highlighted.

  • Strong English written and oral communication skills

Internship, Practicum or Co-Op Placement Opportunity, Soccer Development

Vancouver Whitecaps FC is seeking a highly organized, self-motivated, professional to support our club’s youth programs within the Soccer Development Department.


This is a full-time internship from May through August 2018 with flexible hours and occasional weekends. You will report to the Programs Specialist, supporting the Soccer Development department inside the office and camps in the lower mainland. There you will gain event experience assisting running our summer camps, engaging with our coaches and interacting with our players and parents to help run successful camps and other Soccer Development events.

This position is also responsible for assisting and supporting department operations as required. This role requires full involvement prior to and during events outside of typical work hours.

Key Responsibilities:

  1. Lower Mainland Summer Camps
  • Check-in for players.
  • T-shirt distribution to players.
  • Player & Spike appearance coordination assistance as needed.
  • On-site set-up/take-down of signage, tents and equipment.
  • Serve as on-site liaison.
  • Skills Challenge Administrator – reporting.
  1. Lower Mainland Overnight Summer Camps
  • Pre-planning support.
  • Check-in for players.
  • Apparel distribution to players.
  • Laundry services as needed.
  • On-site set-up/take-down of signage, tents and equipment.
  • Serve as on-site liaison.
  1. BC/Provincial Camp Coordination
  • Transport players to and from the airport.
  • Transport visiting coaches as needed.
  • Assist with camp t-shirt ordering.
  • Assisting with shipping out t-shirts, camp items, apparel and equipment to different camps within Canada.


  • Self-starter, motivated, and creative in problem solving.
  • Strong organizational background with strong prioritizing capabilities.
  • Excellent time management and communication skills.
  • Proficient with all Microsoft Office Applications.
  • Takes initiative and able to work with limited supervision at times.
  • Leadership experience in a team environment.
  • Ability to multi-task an asset.
  • Experience in grassroots sports/soccer an asset.


  • Enrolled in a Canadian post-secondary education program related to recreation.
  • Willing to work flexible hours, occasionally including weekends.
  • A valid driver’s license and vehicle is an asset.

In this full-time internship running from January through April 2018, you’ll be supporting our Business Intelligence & CRM department. There you will gain exposure to everything from generating KPI data visualizations for our Executive team to player performance dashboards to support our Sports Science team. Reporting Structure

The Intern, BI & CRM position reports directly to the Manager, Business Intelligence at Whitecaps FC’s head office in Vancouver’s historic Gastown.


  • Analytical support for the Business Intelligence department and research strategy, which encompasses all club departments and teams
  • Extract valuable information, including relationships, patterns, trends and projections from complex datasets
  • Identify actionable insights within datasets and provide business recommendations of observations
  • Assist with the design and development of customer segments and customer journeys
  • Generate reports which clearly visualize and summarize research findings
  • Acquire data from primary and secondary data sources
  • Create dashboards using BI/Visualization tools
  • Design, programming and execution of surveys and data collection
  • Completing other related duties as may be assigned


  • Enrolled in a Canadian post-secondary education program related to data analysis and visualization
  • Proficient with Microsoft Excel
  • Excellent written and oral communication skills
  • Experience with data visualization tools such as Tableau, SAS VA or MS Power BI an asset

Vancouver Whitecaps FCris seeking an outstanding achiever to provide assistance within our Partnership Marketing Department.


This is a full-time, 3 or 4 month unpaid internship. The position will provide an opportunity for a prospective marketing/sports marketing student to gain experience and insight into how a sponsorship department functions in a sports organization.
