Position Title: Billet Program Coordinator

Location: Christine Sinclair Community Centre & National Soccer Development Centre 

Terms: Part-time, Permanent

We are looking for a new team member to join Vancouver Whitecaps FC in the position of Billet Program Coordinator. The Billet Program Coordinator is responsible for providing the day-to-day coordination of the club’s Billet Program for players in the MLS Academy and Girls Elite Academy.

Role Responsibilities:

General Duties

  • Coordinate all day-to-day aspects of the Billet Program and act as a liaison between the player, host family and the club
  • Provide updates, recommendations, and player wellbeing concerns to leadership
  • Build and maintain he club/player/host family relationships and provide support to all parties through regular communications and interaction
  • Keep players, families and host families regularly updated on club news and initiatives
  • Assist with the administrative support and reporting for the Billet Program
  • Assist with the transition of players during the pre-season and at the end of the season
  • Work with department leadership to ensure we are:
    • Providing a safe environment for players to live, study and play
    • Providing support and education in the areas of Safe Sport, nutrition, and general life skills
    • Maintaining the integrity of all policies and procedures within the Billet Program Handbook and all related club policies

Host Family Recruitment and Relationship Management

  • Assist with the annual promotional plan to solicit Host Families
  • Assist with the application and recruitment process for Host Families
  • Assist with the review of Host Family applications and follow up with potential Host Families to arrange for further discussion, meeting/interview, and in-home visits
  • Conduct Host Family interviews and detailed home inspections prior to making final recommendations to leadership
  • Follow up with selected Host families to work through the onboarding process
  • Develop and maintain relationships with Host Families
  • Conduct follow-up meetings, annual in-home meetings and reviews with all Host Families and forward any issues or concerns to leadership
  • Assist with any conflict resolution and mediation between Host Families and players
  • Make recommendations on the annual renewal, or termination, of Host Families

Player Placement and Relationship Management

  • Conduct player (and parent) interviews to best match players with host families and assist through the transition and onboarding period
  • Assist with the delivery of a pre-season introduction meeting for players and host families, including a tour of facility
  • Check in with players/parents on a regular basis and schedule meetings as required
  • Work with the club to provide players with comprehensive social-emotional and wellness support
  • When required, assist with any conflict resolution and mediation between Host Families and players

Qualifications/Experience:

In addition to bringing a commitment to Vancouver Whitecaps FC vision and values, the ideal candidate will require degrees of demonstrated experience as follows:

  • Degree, diploma or certificate in education, social work, counselling, or related discipline
  • Minimum two years’ experience working with homestay programs or other relevant environments
  • Must champion Safe Sport and be willing to participate in Safe Sport training
  • Must enjoy building relationships, interacting with people, and helping young aspiring student-athletes to succeed in the classroom and on the pitch while living away from home
  • Excellent written and oral communicator who is proficient with computers and the Microsoft Office suite
  • Learns extremely quickly; can understand any challenge and quickly work to constructively resolve
  • Experience with high-performance sport is an asset
  • Must complete a Vulnerable Sector Check and additional background screening
  • Must successfully complete MLS Safe Sport training
